Terms and Conditions

The general conditions are made to manage the relationship between the agency and its partners which have to be approved prior to all commercial transactions. These conditions are an integral part of the contracts (by oral or written), between Vietnam Original Travel and its partners (clients). The conditions must be read, understood and adhered to the terms of these general conditions of sale.

1. Confirmation and payment

As soon as the trip is confirmed, Vietnam Original Travel will send the reservation form with the details of the trip and services to Vietnam Original Travel. This form must be returned to Vietnam Original Travel through these email addresses: info@vietnamoriginal-travel.com or info@vietnamoriginal.com.

A deposit of 30%-40% of the total trip and 100% of airfare (non-refundable) will be required which should be paid through bank wire or by credit card. Clients have to be responsible for all bank fees (if occurred). After receiving deposit, Vietnam Original Travel will proceed bookings and reserve all the services mentioned in the program or equivalence in case of any unavailable services (hotels, trains, boats, domestic flights…). The final (confirmed) programs and invoices will be sent to Clients by email as soon as all reservation are made. The extra 30% should be made 45 days and the balance (20%) 21 days before the start of the trip. In case any modification of the program due to objective reasons: flights, weather etc ... Vietnam Original Travel will notice Clients as soon as possible and make the changes in favor of the Clients.

In the case of last-minute bookings and high season…Vietnam Original Travel has a right to require more deposit but will base on the prior agreement with Clients

2. Travel and benefits prices

Prices are quoted in US dollars based on the mentioned service, number of nights and participants. The prices can also be modified according to changes of: air fares, exchange rates or economic conditions of the countries visited. In case price increases, a notification will be given to Vietnam Original Travel clarifying the increase.

3. Liability insurance

Vietnam Original Travel is not responsible for any damage or loss made by the customers nor the costs incurred by an accident, a natural disaster or a problem of a political nature. Clients must have personal travel insurance. Also, Vietnam Original Travel will not be responsible for any delays due to public air and ground transportation. However, Vietnam Original Travel will do its best to find alternatives by offering similar services.

4. Cancellation and tour refund

Clients are entitled to cancel a purchased tour product and/or travel service. However, the refund of the purchased price for such cancelled tour product and/or travel services is as follows:

Clients must pay bank fee if applied

Over 45 days before the tour: free of charge

30 - 44 days before the tour: 40% total of your tour

15 to 29 days before the tour: 60% total of your tour

From 07 - 14 days before the tour: 80% total of your tour

Under 07 days before the tour: 100% total of your tour
 

Special remarks : Regarding flights fares (domestic or international flights to destinations in the programs), they are not refundable after being issued, it means 100% of the price of airline tickets will be charged. Some 4 and 5-star hotels requiring full payment as soon as being booked are non-refundable as well. It means a full booking price will be charged after their confirmation

These conditions may vary depending on the travel period: low and high season and based on the conditions of hotels, airlines and other providers of Vietnam Original Travel. However, this rule is generally applied to all services booked by Clients.

5. Formalities

Prior to the conclusion of the contract, Vietnam Original Travel informs its Clients about the various administrative or health formalities that are necessary to do trip including: identity card, passport, visa, vaccinations ...

6. Hotel policy

The international hotel regulations require to check out before 12.00 and check in from 14.00.

7. Validity

Prices in the programs are valid for the specific time stated in the pricing, invoice or any other document of Vietnam Original Travel given to its Clients. Vietnam Original Travel guarantees the validity of prices, invoices or documents given to customers during the stated time. The rates may be adjusted in some certain cases such as: significant fluctuation of the exchange rate, newly issued state’s tax, etc. This adjustment may not be noticed in advance by Vietnam Original Travel.

8. Important notes

• In the event that the tours are run on the Christmas, New Year, Vietnam traditional Tet (Lunar New Year…) ... the prices would be revised because some hotels apply supplement for the rooms, Christmas and New Year's Eve meals.

• Flight schedules and fares are subject to change without notice (by airlines's regulations)

• Hotel’s rooms included on the day of arrival are only available from 14.00 (early check-in will be charged 100% or late check-out until 16h00: 50% and after 16.00: 100% based on the availability). Any early check-in or late check-out must be mentioned in the "INCLUSION”. However, Vietnam Original Travel will do best to arrange room based on the availability.

• Visits and excursions mentioned in the program would be modified depending on local circumstances.

• 01 FOC based on twin or double sharing room for 32 - 40 paying participants (exclusive air tickets)
